Job Description

We are currently recruiting for an energetic, team player who is self-motivated and goal oriented to fill the position ofAdministrative Assistant,Marketingbased out of our Mississauga Office.

Reporting to the Vice President, Marketing the Administrative Assistant is responsible for supporting the marketing team in all administrative duties as outlined to ensure the smooth working of the office. The Administrative Assistant will also support the Wine Education team to ensure smoothrunning of the courses offered.

Shipping and Product pick up:

  • Ship samples to all regions as necessary
  • Ship product out for events as needed
  • Ship out POS materials/banners for events
  • Pick up and/or arrange for delivery of samples
  • Pick up /purchase product from LCBO and/or Wine Rack
  • Track samples and order if required


  • Set up rooms for tasting with all necessary materials and product
  • Clean up after tastings
  • Create tasting mats
  • Print tasting notes/other POS materials

Reviews/Scores and Awards:

  • Track and Update domestic and import reviews, scores and awards tracker and post on Open-Bar

Wine Education:

  • Register internal/external candidates for wine education
  • Managing Arterra Academy of Wine Registration, course assignment, and reports
  • Managing WSET Level 2 and 3 registration, shipping, regional class set up, grade reporting and certificate shipping
  • Updating brand modules


  • Food deliveries and set up / clean up
  • Mail / FedEX shipments pick up and deliver
  • Organize domestic and import cages
  • File Creative studio artwork/briefs/POS materials
  • Gathering/print materials for presentations and put packages together
  • Set up for internal launches
  • Itemize all POS materials/ Swag / Banners and track
  • Assist with all offsite meetings


  • Post secondary course or college
  • 5 years at administrative or reception type work
  • Must be tech savvy and understand online systems and processes
  • Must have intermediate skills in Microsoft programs – Word, Excel, Powerpoint
