Reporting to the Vice President of Marketing, the Marketing Co-Ordinator will be responsible for the management and execution of assigned administration and marketing responsibilities for the Domestic Wine portfolio and the Arterra Academy of Wine.

  • Provide administrative support for two areas: 1. The Mississauga based Domestic Wine brand team including the Vice President Marketing, Director VQA, Director ICB, 4 Marketing Managers 1 Brand Manager and 2 Associate Brand Mangers. 2. The Arterra Academy of wine including 1 Director.
    • Monthly Domestic Team Meeting - manage meeting calendar Book meeting rooms, arrange lunch – take minutes when required
    • Work with the VP to outline agenda and send to the team prior to each meeting
  • Serve as primary contact / liaison between the Domestic Marketing, Arterra Academy of Wine, Field Sales, and cross-functional internal support teams; Creative Services (Sales – On & Off Premise, Wine Rack, Quebec Marketing, Customer Marketing (West), assigned Agencies and alliance / tie-in partners (as applicable) as well as IT providers for Learning management tools.
  • Manage day-to-day work flow & discussion with support resources (Studio, Agencies, Sales etc.) teams regarding project milestones / updates to ensure efficient execution thereof.
    • Support & assist with communications to sales. This includes category updates, new product introduction notification, promotional program notification, wine education scheduling etc.
    • Work closely to support Domestic Marketing team and internal / external agencies and resources to develop and execute marketing programs, collateral & presentation support materials in accordance with budgeted objectives to obtain maximum sales volume in relation to marketing and sales objectives.
  • Analysis using Spotfire and The Bar to uncover business insights when required
    • Working closely with the Brand teams and Strategic Insights and Category Management departments, assist in the development of day-to-day portfolio & competitive insights to support project initiatives as assigned. Manage the collection of data and insights for the monthly share report
    • Support the development of annual brand plans – conceptualization of activation/aid in analysis component.
  • POS and Value-Add management. Work with team to ensure trade program application deadlines are met and track all trade programs and ensure that POS and Value-Adds are delivered to regional fulfillment house on time.
    • Coordinate with 3rd party suppliers to ensure delivery deadlines are met.
    • Assist with ordering & inventory management marketing supplies for Domestic portfolio team including collateral and branded gear.
    • Manage and order all marketing materials for newsletters, tradeshow signage, and any other business unit print requirements.
  • Project & Special Event Management (submission, activation, follow-up).
    • Responsible to co-ordinate events from conception through to completion including Exhibitions, Brand presentations, Promotions and product launches, Social events. The role of event organizer is to be hands-on and involved in working as part of a team and must be able to complete a wide range of activities requiring clear communication, excellent organizational skills and attention to detail.
    • Work with team to develop consumer show calendar. Order & co-ordinate travel delivery & set up of necessary supplies and collateral support to assure best in class presentation, product knowledge & service. Liaison with 3rd party staffing suppliers to ensure proper coverage.
    • Prepare post event summary report within one week of the event completion.
  • Support presentation and meeting requirements. This includes assisting in preparation of power point presentations, booking meeting rooms, arranging lunches, preparing product tastings and washing glasses.
  • Manage direct mailings, holiday launch ads, customer appreciation campaigns, and others
  • Work closely with Arterra Legal to assure compliance of all programming, collateral and representative executions - All markets / all channels.
  • Order and secure wine samples from stock, LCBO and/or Wine Rack
  • Shipment co-ordination of wine samples and various business documents / communications, contracts. Collect all information for the regional Customer Marketing teams for board submissions
  • Collect and provide all information required by PR team
  • Maintain AAOW website
  • Manage and maintain Wine Competition Awards database
  • Support Arterra Academy of Wine
    • Online education system user management (customer management, setup, data entry, user support, reporting)
    • Manage in-person and on-line class schedules, attendance, exam ordering, student registration and assignment tracking
    • General administrative support: account reporting, coordinating materials for in-field training and events
    • Coordinate surveys to WSET students that have completed the courses
    • Create testimonial file and secure key customer testimonials through sales contacts
    • Manage the development of online training modules and for both employee and customer systems
    • Execute plan to ensure sales and marketing staff meet training goals.
  • Other tasks as assigned by Supervisor.
Job Requirements

  • Exceptional organizational skills - 1st Class ability to manage deadlines and priorities. High quality & work standards. Detail-Oriented, Impeccable “multi-tasker”.
  • Sense of urgency & ability to prioritize, and get things done in a rapidly changing and dynamic environment.
  • Ability to work independently with little supervision and in a high stress, dynamic environment
  • Excellent oral and written communication skills and strong public presentation skills.
  • Ability to build relationships with internal and external partners and perform duties and responsibilities in a manner consistent with the company’s values.
  • Ideal candidate has at least two years’ experience in administration, consumer marketing, trade marketing, and/or direct account sales and experience with the beverage alcohol industry.
  • Strong command of all MS Office – specifically Excel, PowerPoint
  • Knowledge and comfort working with syndicated data: ACD, Spotfire
  • Experience with learning management systems is a plus. (Adobe Connect, Adobe Captivate, Adobe Captivate Prime).
  • Exposure and experience in working with large corporate systems/processes.
  • Interest in wine is key. Experience in the wine business and/or a WSET certificate would give the candidate an advantage all other things being equal.
  • Undergraduate degree preferred
